◆ Referral & fax intake automation

Every referral and fax, read and filed to the chart

Saga automates referral and fax intake. It reads inbound faxes, referral packets, PDFs, portal exports, scanned documents, and handwriting, matches each one to the right patient (or creates the new patient record), and writes structured, verified data straight to the EHR. When a referral is incomplete, Saga requests what’s missing and tracks it to done.

The problem

Care still starts on paper.

Intake staff spend minutes on every document re-keying faxes into the EHR, referrals wait in a queue, and missing documentation is the top reason patients stall before they are ever scheduled.

How it works

How Saga processes a referral

01

Receives the document

Saga reads from your existing eFax inbox, from documents forwarded to Saga, or from your EHR’s incoming document queue.

02

Reads any format

Faxes, PDFs, portal exports, HIE documents, scans, and handwriting are all read and the key facts extracted.

03

Matches or creates the patient

Saga finds the existing chart, or creates the new patient record when the referral is for someone new to the practice.

04

Extracts structured data

Demographics, diagnoses with ICD-10 codes, referring provider and NPI, insurance, and the reason for referral are captured and verified.

05

Checks completeness

Saga knows what this patient and service require, and requests anything missing. Who it contacts and how is configured for each practice.

06

Files to the chart

Clean, structured data and the source documents are written to the EHR, ready for scheduling.

Questions

Referral intake questions

Can Saga read handwritten referrals?

Yes. Saga reads handwriting along with faxes, PDFs, portal exports, HIE documents, and scanned documents.

How do faxes reach Saga?

Saga can read from a practice’s existing eFax inbox, receive documents forwarded to Saga, or pick them up from the EHR’s incoming document queue. The practice keeps its current fax number.

Does Saga create new patients?

Yes. Saga matches each referral to the existing chart, and creates the new patient record in the EHR when the referral is for a new patient.

What happens when a referral is missing information?

Saga identifies what is missing for the patient and service, requests it, and tracks it until the record is complete. Each practice configures whom Saga contacts and how.

Does Saga work with my EHR?

Saga works inside Epic, Cerner, athenahealth, eClinicalWorks, MedENT, and other EHRs. It uses a computer-use agent that operates the EHR the way a staff member would, so no API integration or IT project is required.

What results do practices see?

In early multi-site deployments, practices saw 94% less manual back-office work and a 48% increase in labor capacity. Results depend on volume and workflow, so Saga models expected figures against each practice’s own volumes during onboarding.
